Thank you for booking an experience with Cykelkokken! We love arranging unique experiences for our guests, and we want to ensure that everyone has a great time. Our Cykelkokken tours are very different from your typical restaurant experience, which is why we have some rules and conditions designed to keep everyone safe. Please read these carefully. If you have any questions about our terms, feel free to ask us. The terms must be accepted before you can participate in our tours.
CONFIRMATION OF YOUR RESERVATION
Your reservation is valid once you have received a booking confirmation from our booking system after making a reservation on our website – or once we have sent you an order confirmation via email.
For B2B bookings, a deposit of 50% of the total amount for the event is required. This deposit is paid to secure Cykelkokken in the event of cancellation, and payment of this deposit is considered confirmation of the reservation.
CANCELLATION POLICY
For small group tours and bookings via the website:
Your reservation can be canceled free of charge up to 14 days before the start time of your booking. It is possible to change the date and the number of participants up to 7 days before the date of your reservation.
If you cancel less than 14 days before the event, 50% of the total price of the tour will be charged. If the cancellation occurs less than 7 days before the event, 100% of the full amount must be paid.
If the number of participants is reduced less than 7 days before the event, 100% of the pre-booked amount will be charged.
To exercise your right to a refund in case of cancellation, you must notify us of your decision to cancel through a clear statement. This must be sent to our email info@cykelkokken.dk, including your name, email, and the unique booking code provided in your reservation confirmation.
We reserve the right to cancel a tour in case of illness in our team or unforeseen events. Cykelkokken tours are conducted in all types of weather, and therefore, weather conditions are only grounds for cancellation if dangerous weather is officially announced. We follow the recommendations of the authorities.
In the event of cancellation by the organizer, a full refund of the amount paid will be provided.
Applicable to B2B and group tours of more than 20 people booked via email:
If you, as a B2B customer, cancel the booking after the deposit has been paid, our cancellation policy states that we reserve the right to retain the deposit and offer a new date for the event within the current year.
If the number of guests is reduced later than 14 days before the event, 100% of the pre-booked amount will be charged. At no point after the deposit has been paid can the number of guests be reduced to the extent that the total booking price falls below the amount of the paid deposit.

DISCLAIMER
1. The person making the booking is considered the "Renter" for any booking that includes themselves or other participants. You (the Renter) guarantee that you have the authority to accept these terms on behalf of yourself and every member of your group participating in a Cykelkokken tour. You will be the primary contact person for Cykelkokken and accept all communication and correspondence on behalf of yourself and your group.
2. Cycling Skills: As mentioned above, the Cykelkokken experience involves a cycling tour, and you will be cycling throughout the tour. Whether you ride one of our bikes or bring your own, you agree to familiarize yourself with the bike before starting the tour and inform us if you experience any difficulties riding. You also agree to cycle safely and follow all applicable traffic laws at all times during the tour.
3. Health and Physical Condition: Since this is a cycling experience, you must be physically capable of cycling for the entire tour. You acknowledge that we have informed you of the approximate distance you will be cycling, and you confirm that you are fit and healthy enough to complete the tour. You accept full responsibility, including any healthcare and transportation costs, if you are unable to complete the tour for any reason.
4. Outdoor Activity: You understand that a Cykelkokken tour is an outdoor activity and that Danish weather is unpredictable. You understand and accept that your tour will proceed despite the weather, provided we consider it safe to do so. It is your responsibility to wear and bring appropriate clothing for the weather, including rain gear. Cykelkokken will determine whether the weather conditions affect the feasibility of the tour.
5. Cycling Safety: You understand that cycling involves risks, just like any other activity. We share roads with motor vehicles and paths with other cyclists and pedestrians, and we do not control how they behave. While we can reduce risks by cycling safely and legally, you understand and accept that we cannot eliminate all risks, and you assume all risks associated with participating in this cycling tour. We encourage all participants to wear a helmet, but Cykelkokken is not liable for any injuries or damages, regardless of helmet use.
6. Alcohol: You understand that a Cykelkokken tour includes stops where food and drinks are served. Some of the beverages may contain alcohol. We will always inform you when serving an alcoholic drink and will offer a non-alcoholic alternative. You understand and accept that it is your responsibility to be aware of how your body reacts to alcohol and to make responsible choices regarding alcohol consumption during your cycling tour. You agree not to cycle if you feel intoxicated or believe your blood alcohol level exceeds the legal limit. You also acknowledge that we reserve the right to refuse to serve alcohol for any reason. You agree to inform us if you feel unfit to ride safely and legally and accept full responsibility for any consequences if you fail to do so.
7. Food Safety: We are a licensed food business and take all legal and reasonable precautions to ensure the food we serve is safe (as well as delicious!). You agree to inform us in advance of any food allergies within your group, and we will take reasonable steps to accommodate them and inform you of the ingredients used in each dish.
8. Equipment: Participants are provided with a tour bag, which must be returned at the end of the tour in the same condition and with the same contents as when received. If you rent a bike through us, you are responsible for returning the bike to Cykelkokken at the end of the tour. You are liable for any damage caused to the provided equipment.
9. Liability Disclaimer: You understand and accept that we assume no liability or responsibility, and you agree to hold Cykelkokken and anyone working with Cykelkokken harmless in the event of, but not limited to, illness, injury, death, or loss or damage to others or personal belongings during, throughout, or after your Cykelkokken tour.
INSURANCE POLICY FOR CYKELKOKKEN
Cykelkokken holds the necessary business and product liability insurance, covering our company and the services we provide. This ensures that we are insured in case of unforeseen incidents related to our gastronomic cycling tours and dining experiences.
However, it is important to note that our insurance does not cover guests’ personal movement by bike in the city. Participants in our tours are responsible for having valid private or travel insurance that covers any injuries or accidents while cycling.
We therefore recommend that our guests ensure their insurance covers any potential incidents that may occur during the tour.
LEGAL REGULATIONS IN CASE OF DISPUTE
The laws of Denmark shall govern the construction and enforceability of these terms and conditions. Any action arising under or relating to these terms and conditions shall lie within the exclusive jurisdiction of the Court of Copenhagen.
